This privacy policy explains how MyRenewals ("we", "us", "our") collects and uses personal data when you use our website at myrenewals.co.uk and the MyRenewals service. MyRenewals is operated by Stuart Stafford, a sole trader registered in England and Wales.

1. What Data We Collect

Account data

When you create an account, we collect your name, email address, and a hashed version of your password. We never store your password in plain text.

Renewal data

We store the contract and renewal information you enter into the service: supplier names, contract dates, costs, notes, and any other details you choose to add. This data belongs to you and is stored solely to provide the service.

Usage data

We collect basic usage data including your last login time and last activity time. This is used to maintain your session and improve the service.

Cookies

We use a single HttpOnly session cookie (`myrenewals_session`) to keep you logged in. We also use Google Analytics (GA4) to understand how the site is used. GA4 sets its own cookies. You can opt out of Google Analytics via your browser settings or a GA4 opt-out browser extension.

Contact form data

If you contact us via the contact form, we collect your name, email address, and message. This is used solely to respond to your enquiry.

2. How We Use Your Data

To provide and maintain the MyRenewals service
To send you renewal alert emails at your configured intervals (90, 60, 30, and 7 days before expiry)
To send you a welcome email when you sign up
To respond to your support enquiries
To send transactional emails (password reset, billing receipts via Stripe)
To understand how the service is used so we can improve it (via Google Analytics)

We do not sell your data to third parties. We do not use your renewal data for any purpose other than providing the service to you.

3. Legal Basis for Processing

We process your personal data on the following legal bases under UK GDPR:

Contract performance — processing your account and renewal data is necessary to provide the service you have signed up for
Legitimate interests — sending service-related emails (alerts, password resets), analytics to improve the service
Consent — where you have explicitly agreed (e.g. marketing emails, if we introduce these in future)

4. Data Retention

We retain your account data and renewal data for as long as your account is active. If you delete your account, all associated data is permanently deleted immediately. We do not retain backups of deleted accounts beyond 30 days.

5. Third-Party Services

We use the following third-party services to operate MyRenewals:

Google Analytics (GA4) — website analytics. Data is processed by Google in accordance with their privacy policy.
Stripe — payment processing. If you subscribe to a paid plan, your payment details are handled by Stripe and never stored on our servers. Stripe is PCI-DSS compliant.
Gmail SMTP — email delivery for alerts, welcome emails, and password resets.

6. Your Rights

Under UK GDPR, you have the right to:

Access — request a copy of the personal data we hold about you
Rectification — correct inaccurate data (you can update your name and email in Settings)
Erasure — delete your account and all associated data (available in Settings → Danger Zone)
Portability — export your renewal data as CSV (available from the Renewals page)
Object — object to processing based on legitimate interests

7. Security

We take security seriously. Passwords are hashed using bcrypt. Sessions use HttpOnly, Secure cookies. All traffic is served over HTTPS. Forms are protected with CSRF tokens. The application is hosted on a dedicated server with restricted access.

8. Changes to This Policy

We may update this privacy policy from time to time. If we make significant changes, we will notify you by email. The date at the top of this page shows when it was last updated.
